Working Hours: 37 hours - Monday to Friday
We currently operate a hybrid working policy with a mix of working from the Hybrid Working office and home.

About the Role
You will be Facilities and Front Desk Coordinator based at Woodchester House, Newforge Lane. Taking the lead in Facilities and H&S, liaising with Landlords and other 3rd parties involved with PowerNI/Energia Group offices in the Newforge Lane Business park along with managing day-to-day activities and greeting customers in a professional manner. This is an excellent opportunity for an experienced candidate to utilise their skills within a dynamic corporate environment.
The ideal candidate will be a multi-tasker proactive in problem solving, dependable, professional and empathetic with excellent collaboration and communication skills and a background in facilities, building on Power NIs reputation for delivering excellent customer service.
Responsibilities
Day-to-day, heres what your new role would look like:
- Co-ordinate facilities and maintenance activities in line with our planned maintenance schedule, helping to ensure a safe, well-maintained and efficient office environment.
- Assist with contractor management and health & safety compliance, ensuring required documentation, permits and records are maintained.
- Build positive relationships with landlords, contractors and service providers to support office operations. Ensure office supplies are well stocked, and equipment is available and in good working order.
- Manage office access, visitor arrangements and Wi-Fi administration.
- Attend facilities and HSE meetings and contribute to continuous improvements across the office.
- Encourage staff to adhere to health and safety procedures whilst in the office Ensure Health and Safety Notice Board is kept up to date.
- Assist and oversee HSE/facilities inspections, audits and scheduled maintenance activities.
- Manage reception activities, greeting customers, visitors and colleagues in a professional manner, promoting Power NI and Energia Groups high standards of customer service.
- Manage all incoming and outgoing post daily using the franking machine when required.
- Process customer documents on to our company Billing system in a timely and confidential manner.
- Support payment activities including raising Purchase Orders and approving invoices.
- Ensure that the reception manual and key stakeholder contact details are maintained accurately.
About you
Key Criteria What Youll Need
- Previous experience in similar Office Management, Facilities, or HSE role.
- Demonstrable experience of managing relationships with third parties such as landlords and/or service providers.
- Experience in supporting Health & Safety activities, including documentation management and contractor coordination e.g. exposure to permits to work/RAMS etc.
- Ability to manage multiple priorities in a corporate environment.
- Proficiency in Microsoft Office, or finance systems such as SAP.
