Job Description

About us

Graystone Capital arranges and structures debt financing for businesses across the GCC and wider region. We work with clients on trade finance, working capital, and structured credit, connecting them to the right funding partners.

The role

We're looking for an Executive Assistant to support our senior leadership. This is a role for someone who runs the diary rather than just keeps it, anticipating what's needed, protecting the leadership team's time, and making sure nothing falls through the cracks.

You'll sit close to the business and see everything: client meetings, funding partner discussions, board matters, and travel across four markets. Discretion is non-negotiable.

What you'll do

  • Manage complex diaries across multiple time zones, resolving conflicts and prioritising without being asked
  • Coordinate international travel end to end — flights, visas, hotels, ground transport, detailed itineraries
  • Prepare meeting materials, briefing notes, agendas, and follow-up actions
  • Screen and route correspondence, drafting responses on behalf of leadership where appropriate
  • Act as first point of contact for clients, banks, and institutional counterparties
  • Organise internal and external meetings, calls, and events
  • Handle expense reporting, invoice tracking, and administrative approvals
  • Maintain confidential files and documentation with absolute discretion
  • Track deliverables across the leadership team and follow up to closure

What we're looking for

  • Prior experience supporting C-suite or board-level executives, ideally in financial services, banking, or professional services
  • Exceptional written and spoken English; ability to draft correspondence to institutional counterparties
  • Advanced Microsoft Office skills, particularly Outlook, Word, PowerPoint, and Excel
  • Proven judgement in handling confidential and commercially sensitive information
  • Highly organised, calm under pressure, and comfortable working to short deadlines
  • Proactive rather than reactive — able to anticipate needs and act without instruction
  • Experience with GCC visa processes and regional travel logistics an advantage
  • Bachelor's degree preferred
  • Arabic or Hindi an advantage depending on market

Why join us

You'll work directly with senior leadership and have genuine visibility across the business. We're a lean team, so this is a role with real influence over how the leadership function operates day to day.
