What You'll Be Doing (position summary):
The Executive Assistant manages the day-to-day administrative activities for the CIBC India team in support of the Country Head, India. Responsibilities also include on-going administrative management of the region, providing support to the team(s) and ensuring timely and effective delivery of services and assigned projects.

How You'll Succeed (responsibilities):
Experience: 3-5 years of experience
- Calendar Management - Maintain and monitor the executives' calendars of scheduled appointments, upcoming events and matters requiring immediate attention. Coordinate agendas, and send meeting invitations and agendas to attendees, book meeting rooms and arrange for IT resources and refreshments in support of a smooth and efficient meeting facilitation.
- Travel Arrangement & Expense Reporting - Make travel arrangements and maintain travel expense account including expense submissions on behalf of the Executives. Arranges group travel as necessary. Monitor and track all department invoices and expenses including contracts; process expense reports/invoices and update financial reports when required.
- Professional Support - Prepare standard correspondence, minutes, reports and presentations frequently of a confidential, strategic and/or specialized nature ensuring completed material is produced in a timely manner. Assist with the preparation of presentations and management reporting.
- Administrative Duties - Provide ongoing administrative support such as; assisting with onboarding/offboarding activities for new and departing employees (includes processing requests for technology requirements, business cards, corporate cards, expense and travel profiles etc.) and planning conferences and townhalls for the CIBC India team.
Who You Are (skills/qualifications):
Must Have Skills:
- Requires 3 to 5 year's experience in an administrative function in a fast-paced environment.
- Confidence and ability to exercise independent judgment, discretion and diplomacy in managing the activities of an executive
- General business knowledge and general understanding of the organizational unit and its functions
- Good understanding of processes, policies and procedures required for supporting the business units.
- Detail oriented, organized, and able to manage time and multi-task to accomplish a wide variety of tasks.
- Intermediate level PC skills (MS Office: Excel, Word, PowerPoint, Outlook, Teams).
- Strong communication and interpersonal skills to interact with a wide range of individuals in a wide range of situations, which usually requires tact, diplomacy, and discretion. Strong initiative and self-managing skills to be able to work independently with very little direction and to respond effectively to issues as well as potential issues that may arise.
- Ability to deal with clients in a professional and courteous manner, and to develop professional working relationships.
- Ability to learn about the organization and the supported business units' uniqueness and then use this knowledge to carry out accountabilities.
- Ability to work both independently, as well as part of a cohesive team
- Ability to deal with confidential materials in an appropriate manner.
KEY CROSS FUNCTIONAL RELATIONSHIPS:
- Interacts with colleagues at all levels within CIBC India in order to provide administrative support.
- Interacts and collaborates regularly, with Executives and their representatives, with senior managers, and with cross-functional business units to carry out accountabilities.
- Interacts with various external contacts including couriers, vendors, premises and building maintenance.
- Interacts regularly with various internal LOBs and departments to accomplish supervisory or administrative or coordination tasks, and with other advisory or support units (such as Human Resources) when matters arise that require their involvement, or to develop and implement business process improvements.
