Job DescriptionJob Summary The Executive Assistant will work directly with the Managing Director to drive follow-ups and coordination across Sales, IT, and other business functions. This role acts as an extension of the MD's office β tracking action items, liaising with department heads, and ensuring tasks assigned across teams are progressing and reported back accurately and on time. The ideal candidate is a sharp communicator who can influence and follow up firmly across departments, while staying organized and tech-savvy enough to manage information efficiently.
Key Responsibilities Cross-Functional Follow-up & Coordination Track action items and decisions arising from MD-led meetings across Sales, IT, and other business functions Follow up proactively with respective department heads/teams to ensure timely execution of assigned tasks Escalate delays or roadblocks to the MD with clear context, before they become critical Maintain a consolidated tracker of pending items, owners, and deadlines across departments Reporting to the MD Prepare regular (daily/weekly, as required) status updates for the MD summarizing progress across Sales, IT, and other functions Compile data and inputs from various teams into clear, concise reports/dashboards for MD review Flag priority issues, risks, or opportunities that need the MD's attention Sales & Business Support Coordinate with the sales team on distributor/dealer-related follow-ups, order status, and target tracking as directed by the MD Support preparation of MIS reports, presentations, and briefing notes for business reviews Assist in tracking business development activities and competitive/industry developments relevant to the company IT & Systems Coordination Liaise with the IT team on the status of ongoing IT initiatives (e.g., CRM rollout, system implementations) and relay updates to the MD Ensure department-level compliance with systems/process adoption as directed by the MD Use Excel, CRM, and other business tools confidently to track, analyze, and present information Requirements Education & Experience Bachelorβs degree in business administration, Commerce, or related field (MBA preferred but not mandatory) 3β6 years of experience in an Executive Assistant, Chief of Staff, or similar cross-functional coordination role Prior experience in manufacturing, retail, or distribution-driven businesses is a strong plus Skills β Communication & Influence Excellent verbal and written communication skills Strong persuasion and follow-up ability β must be comfortable pushing multiple teams for updates and holding them accountable without direct authority over them Multilingual: proficiency in Tamil, English, and Hindi is required (additional regional languages like Kannada/Telugu/Malayalam a plus, given the company's multi-state distributor network) Skills β Technical & Organizational Strong working knowledge of MS Excel (pivot tables, formulas, basic reporting) and MS Office suite Comfortable using CRM systems, AI tools (e.g., Claude, ChatGPT, Copilot), and other digital productivity tools to work efficiently Highly organized, detail-oriented, with strong ownership of follow-through on tasks Ability to multitask across Sales, IT, and general business priorities simultaneously Other Attributes Keeps up to date with developments in the textile/apparel/innerwear industry and general business trends High level of discretion and professionalism given proximity to sensitive business information Calm under pressure, with the ability to manage multiple stakeholders and priorities at once
