About the role

Fast paced environment. You won't be setting strategy or managing the team. This role exists so that training coordination, meeting logistics, packs and minutes and follow-through on action items come off the CEO's plate entirely.

You are the operating system around one person. You are her right hand, you own her commitments and the loop-closing on everything agreed to in meetings so she can focus on other priorities.

You report directly to the CEO. You have no direct reports but your work intersects with all the other team members. You are the linchpin pushing things forward.

Key responsibilities

  • Attend meetings in person, take minutes, and run the screens
  • Conduct meeting prep, including chasing briefs from team members beforehand
  • Follow up on meetings: chase action items, prompt people, and flag what is falling behind
  • Prepare board packs, printing and binding
  • Prepare materials, briefs, decks and documents as needed ahead of meetings
  • Manage governance admin: minutes, the resolution register and the action item register
  • Prepare the CEO for every external meeting with a one-paragraph brief: who, why, what was last said, what she needs to decide
  • Run the weekly Friday look-ahead so she starts Monday knowing the shape of the week and plan and maintain Monday team meeting agendas and action items
  • Handle phones and first contact, including difficult calls, then provide a briefing on what needs a reply
  • Draft and send routine external correspondence
  • Maintain the follow up register so nothing the team committed to gets dropped
  • Book and coordinate member travel for meetings and training, including accommodation, confirming availability, and rebooking when names change
  • Consult with members on free training and business opportunities
  • Capture commitments from meetings and track them all the way to done
  • Chase internal and external parties for the things the CEO is waiting on, without her prompting
  • Maintain the CEO's contact and relationship records so no relationship goes cold by accident
  • Conduct ad hoc research and coordination as needed. Handle and solve the unexpected.
  • Coordinate with team members directly to gather information and provide answers

What You'll Bring

  • 2+ years supporting a CEO or senior executive
  • Fluency with Office 365, AI tools, and at least one task/project system (Monday.com, Notion, ClickUp or similar)
  • A verifiable track record handling confidential financial, legal and personnel information
  • Comfort with short notice, variety and unexpected detours, backed by excellent time management
  • A thick skin, a positive attitude, and a good sense of humour

What You'll get

  • $85,000-$95,000 base salary, depending on experience, plus full not for profit salary packaging benefits
  • 5 weeks' annual leave
  • $1,500 annual learning and development budget
  • Home office setup, with a hybrid split based in Malaga, Perth
  • Occasional overnight travel - roughly 4 trips a year
