Designation: Assistant Manager โ€“ Administration & Procurement Educational Qualification: Graduate/ Post Graduate in any stream Desired experience:- 5 - 10 Years Reporting to :- Sr. Manager - Administration & Facilities Location:- Mumbai Job Description Vendor management & procurement โ€“ Developing and empanelment of vendors, negotiating cost, SLA and AMC drafting, NDA formalities, PR/PO process, invoice processing, vendor follow up and Co-ordination as per the requirements of the organization. Travel Visa & Hotel โ€“ International travel and Visa processing, Travel insurance and other formalities.

Hotel bookings and coordination for domestic travel, Hotel RC finalization. Event management โ€“ Making necessary arrangements for internal meetings & events, R&R programs, Annual day events etc. Managing housekeeping, security, transport and cafeteria services efficiently without disruption of services.

Conformity to products and services. To ensure all products and services meet the contractual terms. Responding to employee concerns with solutions.

Interaction with Finance team for invoice processing, payments, and providing provisions on a timely basis. Interaction with User departments for existing and new requirements, sourcing, negotiating with vendors. Maintaining stock and monitoring inventory.

To ensure 100% legal compliance by vendor at all times. Assisting support services staff in their activities. Ensuring safety and security at all times.

To work closely with : - Internally: Team leaders, Managers, Directors and MD to drive efficiency. - Externally: To work with various vendors agencies, as and when required. Desired Profile Additional Skills Sets / Abilities Desired Expertise / Specialized Knowledge Managerial and Leadership skills. Ability to motivate support staff with proper guidance and grooming.

Negotiations with vendors. Report preparation / generation A self-motivated person with drive to achieve and deliver excellent results. Data Analytics โ€“ Ability to comprehend data and provide meaningful business insights Formatted: Not Expanded by / Condensed by Formatted: Not Expanded by / Condensed by Expertise and familiarity with business tools like MS Excel, Qlik, Power BI, Knowledge of additional skills like R and Python will be an added advantage.

Information Technology Good knowledge of MS Office Language Skills Fluency in English โ€“ listening, reading, writing and speaking Business Communication skills โ€“ E-mails, verbal & presentations Team Management Team Leaders are responsible for managing their teams which is not limited to just getting work done. It by default includes leading the team which means being responsible for their performance and behaviour, providing timely guidance/motivation/course-correction, managing team dynamics, taking care of team members, being the 1st person responsible to fairly handle team grievances and working towards fair resolution, guiding and helping team members become better at what they do etc โ€“ all this while staying compliant to company's values, code of conduct and code of ethics. The responsibilities mentioned are not exhaustive but are a general indication of what is always expected from Team Leaders being in a role of People Manager.

It is also the responsibility of Team Leader to develop their own acumen and understanding of the dimensions of people management while leading teams in the professional world. In case of issues, the Team Leaders needs to reasonably establish that all the efforts were taken by her/him in such matters before escalating the team matters to their Managers/or involving local HR. Certain situations that require reporting the matter directly to specific authorities/committees (such as POSH, Fraud etc.) are excluded from the above expectation for handling locally within their team.

Furthermore, to assess their team members based on their performance and give them honest and fair feedback. In turn, be open to feedback themselves and help to foster a genuine feedback culture.
