Unijobs on behalf of University of Limerick are seeking a reliable and experienced Administrator to join its team in the Office of the Provost and Deputy President. This is a full-time, temporary position, working 35 hours per week, Monday to Friday, on campus. This position is initially anticipated to be until the 2nd of October 2026.
The successful candidate will be offered โฌ19.05 per hour. Job Purpose The Provost and Deputy President (PDP) is the University's chief academic officer, with responsibility for overseeing the quality and delivery of the academic programmes offered by the university and all aspects of a student's academic journey from admission to graduation. The post holder will support the day-to-day administration in the Office of the Provost and Deputy President.
Working as part of an administrative team, reporting to the Planning and Projects Manager, they will be required to provide high quality support to the Provost and Deputy President. The post-holder will be required to work collaboratively with colleagues across the University and to liaise with staff, students and external stakeholders, as appropriate. Key Accountabilities: Working alongside the Executive Administrator, under the direction of the Planning and Projects Manager, as part of a collaborative team, the post-holder will provide day-to day administrative support to the Provost and Deputy President including: * Diary scheduling - coordinating appointments, meetings and events * Supporting the organisation of functions attached to the Office * Arranging catering/hospitality * Tracking information returned to external organisations * Processing basic financial transactions on Agresso * Ordering stationery and office supplies * E-mail correspondence on behalf of the Office of the Provost and Deputy President * Support effective and positive relationships with internal and external stakeholders. * Provide administrative support to a range of committees with responsibility for meeting organisation, circulation of documentation, and minute-taking. * Conduct filing, records and data management tasks and implement improvements in information management as required. * Engage in Quality Management processes and initiatives. * Support business continuity to ensure that service levels are maintained on a continual basis to the highest possible levels. * The post holder will be expected to be flexible regarding work assignments and to have a strong, proven capacity for teamwork. * Other duties as may be assigned by the Planning and Projects Manager.
Essential Knowledge, Skills, Experience and Qualifications: * Excellent interpersonal, oral and written communication skills. * High level of proficiency in IT packages and systems such as Office365, Agresso, Sharepoint or equivalent. * Have the ability to take initiative and devise innovative solutions to problems. * Excellent administrative skills. * Ability to prioritise work with a high level of accuracy and attention to detail required. * Excellent time management skills. * Experience in minute taking for committee meetings. * A flexible approach to work. * Evidence of the ability to positively engage with a range of stakeholders. * Proven track record undertaking complex, high-level organizational and administrative tasks with emphasis on accuracy and attention to detail. * Diary management experience. * Knowledge and understanding of UL administrative procedures and processes - Desireable. *Minimum of 3 years working in a demanding and fast paced executive office environment. * Leaving Certificate or equivalent. * Applicants must be eligible to work in Ireland at the time of application.
