Job Description
Position: Administrative Assistant 1 (Communications) Type: Full-Time, Permanent, 35 hrs/week (Monday-Friday 0800-1600 hrs) Accountability: Director of Communications & Government Relations Start Date: As soon as available Qualifications A minimum of three (3) years experience working in an office setting performing administrative, data entry and clerical functions Ability to be tactful and professional, while responding to member inquiries Excellent computer skills with proficiency in MS Office Suite (Word, Excel, Outlook, Powerpoint) Familiarity with UnionWare, considered an asset Knowledge or experience in the functions of various social media platforms will be considered an asset including Facebook, Instagram and LinkedIn. Experience with Hootsuite considered an asset Experience with event management and registration software (i.e. Swoogo) is an asset Must be able to work in a team setting, understand and respect confidentiality and meet deadlines A positive attitude, receptiveness to direction and feedback, respectful approach towards members and co-workers, maturity and a high level of self-motivation are essential Demonstrated knowledge and experience in managing multiple priorities, tight timelines and potentially high-stress situations Ability to assist with event setup and teardown, including lifting, carrying, and moving supplies boxes and materials (up to 25 lbs) Duties Incumbents in the classification of Administrative Assistant 1 provide administrative support functions, including but not limited to the following duties: Perform telephone/receptionist and other general hospitality duties Type, format and distribute documents Prepare and/or handle all manner of incoming and/or out-going correspondence Provide general administrative support to the Communications and Education Department, as required Assist with the administrative planning and execution of events, meetings or programs Administer and maintain event management software systems Coordinate inventory management and supplier ordering for the MNU Store Coordinate and maintain educational and event support materials, including printed resources and presentation materials Update and maintain membership or contact lists and other database records Order and maintain any or all office supplies and materials Maintain calendars of events and other related schedules Maintain files, both paper and electronic Updating and/or formatting information on the MNU website Assist with all other general office duties Process all incoming and outgoing mail (letters, store orders) Provide relief or backup support to other administrative staff, as required Perform other duties related with this classification
