About the Role

As the Administration Assistant, you will provide broad day-to-day support across office administration, client communication, scheduling, reporting and document management.

  • Managing and triaging incoming emails
  • Responding to clients and directing enquiries to the appropriate team members
  • Answering and directing phone calls
  • Scheduling appointments, coordinating calendars and arranging service bookings
  • Preparing quotes, reports, templates, forms and other business documents
  • Maintaining accurate records, databases and filing systems
  • Providing updates to management on completed tasks and project progress
  • Assisting with process improvements and documenting procedures
  • Providing ad hoc support to management and the wider team

About You

To be successful in this role, you will ideally have:

  • Previous experience in an administration, office support or similar position
  • Strong written and verbal communication skills
  • Excellent organisation and time-management capabilities
  • The ability to prioritise competing tasks and meet deadlines
  • Exceptional attention to detail and accuracy
  • A proactive, positive and professional approach
  • Strong customer service and relationship-building skills
  • Confidence learning new software and online systems
  • Advanced Microsoft Office skills, particularly Word, Excel and Outlook
  • Working knowledge of Google Workspace
  • Basic Xero knowledge, although this is preferred rather than essential
  • Strong problem-solving skills and the ability to use initiative
  • The ability to work independently and contribute effectively within a team
  • Discretion when handling confidential or sensitive information
