16-20 hours per week (some schedule flexibility), with additional hours when necessary.

Contract

6-month fixed-term contract (possible extension). Includes pro-rata annual and personal leave entitlements.

About the Role

We are seeking a highly organised, proactive Office Coordinator to join our full-service Creative and Media agency. This is an internal office coordination and administrative support role.

You will provide supporting admin to the CFO and help keep day-to-day agency operations running smoothly. This is an entry-level role - no accounting qualifications required - but the reconciliation and invoicing work demands someone who is genuinely comfortable working with numbers.

Key Responsibilities (not limited to)

Finance Administration

  • Support end-of-month invoicing, including data entry, reconciliation, and invoice distribution.
  • Reconcile major supplier invoices (Google, Meta, Amex) - high volume (approx. 120-150 invoices per supplier each month), routine in nature but requiring accuracy and consistency.
  • Maintain and update records in Accountability (our internal ERP system) - full training provided, no prior experience necessary.
  • Manage early-stage debt collection: monitoring outstanding accounts and compiling a follow-up list for the Account Service team to action (not client-facing calls).

Office & Operations

  • Office supplies procurement
  • Office events and functions
  • Equipment setup and maintenance
  • Internal systems and platform upkeep
  • Travel bookings and logistics

What We're Looking For

  • Approximately 1 year of experience in admin or office support.
  • Confident using Microsoft 365, particularly Excel (at least basic level).
  • A genuine numbers person - comfortable working with figures, spotting discrepancies, and handling high transaction volumes accurately. No accounting qualification required.
  • Strong attention to detail and organisational skills.
  • Reliable, able to manage multiple tasks, and work well in a team.
