Position Overview


The Government of Nova Scotia is seeking aClerk 2 (ADM03)to provide administrative and data-entry support associated with the deployment of a new online database system,AMS (Agency Management System).


The successful candidate will be responsible for entering and validating client information that was not transferred to AMS during the migration from the Agency's legacy system.


The position will also support the reissuance of approximately9,000 Certificates of Qualification and identification cardsfollowing the removal of the requirement for tradespeople in compulsory trades to renew their certifications every five years. The work will involve accurate data entry, document processing, administrative support, filing, and following established procedures and regulations.


Key Responsibilities



  • Perform accurate and timelydata entryof client information into the AMS database.

  • Review information migrated from the legacy system and identify data that requires entry or correction.

  • Enter, update, and maintain client records in accordance with established procedures.

  • Process information associated with the reissuance of approximately 9,000 Certificates of Qualification and identification cards.

  • Review documentation for completeness, accuracy, and consistency.

  • Prepare, organize, and file correspondence and other administrative documentation.

  • Maintain accurate electronic and/or paper records.

  • Follow established methods, procedures, Acts, rules, regulations, and departmental policies.

  • Provide general administrative support to the team as required.

  • Respond to telephone and in-person inquiries and direct requests appropriately.

  • Distribute inter-office mail and documentation as required.

  • Maintain office supply inventory and assist with related administrative activities.

  • Assist with petty cash and expense-related administrative tasks where required.

  • Prepare expense claims and related documentation when assigned.

  • Exercise judgment when determining the most appropriate method for completing routine assignments.

  • Maintain confidentiality and accuracy when handling client and certification information.

  • Perform other clerical and administrative duties as assigned.


Requirements


Mandatory Qualifications


Candidatesmust meet the following minimum qualification requirements:


Education



  • Grade XI education or equivalent.


Experience



  • Minimum two (2) years of related experience, OR

  • Anequivalent combination of training and experience.

  • Demonstrated experience performingclerical and administrative duties.

  • Demonstrated ability to performaccurate data entryand maintain records.

  • Ability to understand and followestablished methods, procedures, Acts, rules, and regulations.

  • Ability to exercise judgment and select the appropriate work method for assigned tasks.

  • Strong attention to detail and accuracy, particularly when handling large volumes of information.

  • Ability to organize, prioritize, and complete multiple administrative assignments.

  • Strong written and verbal communication skills.

  • Ability to respond professionally totelephone and in-person inquiries.

  • Ability to prepare, organize, and maintain correspondence and records.

  • Ability to work independently undergeneral supervision.


Preferred Experience


The following experience would be considered an asset:



  • Experience working in agovernment, regulatory, licensing, certification, or public-sector environment.

  • Experience withdatabase data entry or data migration activities.

  • Experience processing high-volume records or documents.

  • Experience working with client/customer information.

  • Experience handling certificates, identification cards, licenses, registrations, or similar official documentation.

  • Experience working with legacy systems and/or new database implementations.

  • Experience in an administrative or clerical role requiring a high degree of accuracy.


Ideal Candidate Profile


The ideal candidate will be a highly organized and detail-oriented administrative professional who is comfortable performinghigh-volume data entry and document-processing work.


The candidate should be able to follow established procedures and regulatory requirements while exercising sound judgment when completing routine assignments. Strong attention to detail is particularly important due to the volume of client records and certification documents involved in this project.

Grade XI education or equivalent.


2+ years of related clerical/administrative experience, or an equivalent combination of training and experience.


Data-entry experience.


Experience maintaining and updating records.


Ability to follow established procedures, rules, regulations, and policies.


Strong attention to detail and accuracy.


Administrative/clerical support experience.


Ability to handle a high volume of information/documents.


Strong written and verbal communication skills.


Ability to work under general supervision and exercise judgment.


Ability to workon-site at 7071 Bayers Road, Halifax, Nova Scotia.
