Job Description

Ashburton Assurance Australasia is a growing provider of ISO certification services, supporting businesses across Australia and the Asia-Pacific region to achieve and maintain compliance with internationally recognised standards.

We are looking for a reliable, organised and detail-oriented Admin & Certification Coordinator to join our Sydney-based team.

About the Role

This is a varied administration role supporting our certification and wider office operations. You will assist with keeping client information, documentation and day-to-day certification processes organised and up to date.

Key responsibilities

  • Preparing and assisting with client documents, proposals and correspondence
  • Assisting with audit bookings and coordinating dates with clients and auditors
  • Maintaining client records, databases, spreadsheets and electronic filing systems
  • Assisting with audit plans, reports, certificates and other certification documentation
  • Following up outstanding documents, payments, confirmations and information
  • Assisting with client onboarding and maintaining client files
  • Proofreading and checking documents for accuracy and completeness
  • Updating internal registers and systems
  • Communicating professionally with clients, auditors and other stakeholders via email and phone
  • Tracking certification and audit deadlines
  • Providing general administrative and office support to the team

About You

We are looking for someone who is organised, reliable and takes pride in getting the details right.

The successful candidate will have:

  • Previous administration, office support or coordination experience (preferred but not essential)
  • Excellent attention to detail and a strong focus on accuracy
  • Good written and verbal communication skills
  • Strong organisational and time-management skills
  • The ability to manage multiple tasks and competing priorities
  • Good computer skills and confidence learning new systems
  • Experience with Microsoft Office, particularly Excel and Word (preferred but not essential)
  • The ability to maintain accurate records and work with spreadsheets and databases
  • Strong proofreading and document-checking skills
  • A professional, positive and reliable attitude
  • The ability to work independently and as part of a team
  • A willingness to learn and take on new responsibilities
  • Previous experience in ISO certification or auditing is preferred but not essential, with training provided to the successful candidate.

A current and valid driver's licence is desirable.
